For multi-tenant sites

Every asset on the site, on one planner.

Tenancy kitchens, the common exhaust, the bin rooms and the carpark — surveyed once, scoped once, and run to one calendar with one record behind it.

01  The problem

The evidence is scattered
because the contractors are.

A centre's exhaust risk sits across a dozen tenancy kitchens — each with its own contractor, its own cycle, and its own paperwork if there is any. The common food-court system sits with someone else. The bin room, the dock and the carpark sit with a third, or on no cycle at all.

The centre manager carries the risk for all of it, and assembles the evidence by chasing it.

02  The scope

What must be done,
and what should be.

Two kinds of work sit on one planner, and the planner never confuses them. Compliance work is driven by a standard and a measurement. Condition work is driven by how hard an area is used. Both are scheduled — only one is a legal obligation, and the planner says which is which.

Compliance-driven · interval set at survey

Measured, certified, registered

  • Tenancy kitchen exhaust systemsCleaned and certified per tenancy, with grease-depth readings at every access point, identical-position photographs and a numbered deficiency register.
  • Centre common exhaustFood-court and common-area systems on the same protocol and the same certificate.
Condition-driven · cycle set commercially

Brought to condition, photographed, recorded

  • Bin rooms and waste areasThe first thing an inspector looks at and the last thing anyone attends to.
  • Carpark, hardstand and rampsThe routes staff and deliveries cross daily, kept trafficable by the calendar rather than by incident.
  • Loading docks, entries and alfrescoThe surfaces that carry your risk and the ones your customers judge you on.
  • Rooftop around the plantWhere a discharge has left a grease trail, the surrounds are brought back and containment is proposed as a register item.
  • Spill responseBy arrangement.

Every surface is scoped for drainage, fall and containment before it is proposed. Washwater is contained within the work area, recovered, and the method recorded — if a surface cannot be washed without a discharge problem, that is said before the job, not after.

03  The file

One file,
not twelve.

ONE RECORD

Every tenancy in one place

What was measured, what was found and what is still open — across every kitchen on the site, read from one consolidated record instead of twelve inboxes.

FORM 3 & ESP

The exhaust line, evidenced

The building's essential safety provisions carry the exhaust systems. The planner puts a measured record behind each one, per tenancy, before the verification is due.

ONE SCHEDULE

Issued up front

Every asset, every date, for the year. A reminder arrives before each visit and the next date is set before the technician leaves site.

ONE LINE, MONTHLY

Billed calendar-monthly

One planner, one monthly line in arrears, each visit shipping its own evidence — instead of a dozen invoices on a dozen cycles.

04  How it runs

Surveyed once. Scoped once.
Then it runs.

STAGE 01

Survey

One measured pass across the whole site — every tenancy kitchen, every common system, every surface, with the same instruments the certificate uses.

STAGE 02

Scope and cycle

Compliance intervals set from measurement; condition cycles set from how hard the area works. Neither is assumed from a table.

STAGE 03

The planner issued

Every asset, every date, scoped and priced for the year, in one document the centre signs once.

STAGE 04

It runs

Evidence after every visit, the deficiency register carried forward, and the next date already on the calendar.
